Job description

We are currently working in partnership with a Housing Association based in Buckinghamshire, who are recruiting for a Facilities Assistant on a permanent basis. The position is due to start immediately, on a part-time basis, with flexible days available. The salary is £22,066 per annum.

The ideal candidate will have experience with facilities management, manual handling, health and safety awareness and experience in providing administrative support to teams.

Duties will include (but are not limited to):

  • Providing administrative support to the Facilities Team

  • Maintaining the office building, ensuring it is a welcoming place and a high level of service is maintained

  • Providing new starters with their name badges, parking permits and business cards where applicable ensuring all supporting documentation is received

  • Holding responsibility for the day to day processing of purchase orders, invoices, and corporate purchasing card

  • Investigating all anomalies

  • Carrying out office manual handling which will include being responsible for incoming and outgoing post daily, it may also consist of some office moves i.e. moving furniture, desks and office equipment

  • Liaising with suppliers to request quotes and processing of purchase orders for facilities related goods and services. Ensuring value for money is achieved on all occasions and reviewing current suppliers periodically from this perspective

  • Providing new starters with their name badges, parking permits and business cards where applicable ensuring all supporting documentation is received

  • Assisting the Facilities Officer in the co-ordination of repairs and maintenance for the office

  • Monitoring of Facilities Helpdesk and email account allocating and resolving clients’ requests in line with set KPI’s

  • Assisting the production/changes of Employee Proximity ID badges on the access control system

  • Assisting with Display Screen Equipment Assessments

  • Undertaking regular workplace inspections covering the office

  • Undertaking a wide variety of tasks such as maintaining agreed standards of housekeeping and processes within the facility, minor repairs, re-stocking of various office supplies and processing of stationery orders

Experience required:

  • Experience required in Social Housing

  • Experience within facilities management

  • Experience within manual handling

Skills, knowledge and expertise required:

  • Intermediate knowledge of I.T. applications to include excel & word

  • Ability to work unsupervised and apply initiative when required

  • Excellent organisational skills to include time and priority management adhering to deadlines

  • Ability to undertake specific projects
