Job description
We are currently working in partnership with a Charity based in West London, who are recruiting for a Office Coordinator on a 1 month temporary contract. The position is due to start at the beginning of September with the potential to go full time. The hourly rate of pay is negotiable.
The ideal candidate will be able to complete day to day administrative duties standalone but also to be a team player when needed. The candidate must also be up to date with the latest technical software’s.
Duties will include (but are not limited to):
Leading on health and safety quieries, being the first point of contact
Looking after multiple inboxes, telephone answering and forwarding messages as appropriate
Supporting staff with room bookings internally and externally; you will be our Google calendar guru and will oversee bookings and adapt accordingly
Coordinating office maintenance dealing with contractors and service providers, managing repairs and cleaning services
Coordinating the office and IT purchases within budget and in a timely manner; working with our IT support company and the Workspace Manager you will be a vital part of planning IT purchases and keeping our budget
Coordinating IT onboarding and offboarding of staff; you will be supporting the Workspace
Supporting the Workspace Manager with remote, onsite, and offsite events, supporting
plans and coordinating organisation wide events, including Zoom calls and summer socials
Experience required:
Experience in working with cloud-based environments
Working experience in Google Workspace package (Gmail, Google Docs, Sheets and Forms)
Project or event planning and management experience
IT support management experience
Event organising experience
Experience working in a high-growth, fast paced organisations
Skills, knowledge and expertise required:
Flexible approach to support a dynamic team in a fast-paced environment
Excellent organisation and prioritisation skills
Enthusiastic and eager to learn, solutions-focused with initiative to work collaboratively
Good verbal presentation skills
Proficient in Word, Excel, and PowerPoint
Working hours:
35 hours per week
9am – 5pm Monday to Friday
